How Much to Charge for BBQ Catering
A staffed BBQ buffet for 100 guests costs about $17.46 per guest to produce. Here is what to charge and why food cost alone is not enough.
Price per guest by party size
Staffed buffet, pulled pork and chicken, three sides. Cost per guest falls as the party grows because labor and setup are spread wider.
| Party | Full cost per guest | Suggested price per guest | Suggested total |
|---|---|---|---|
| 25 guests | $32.56 | $40.70 | $1,018 |
| 50 guests | $23.67 | $29.58 | $1,479 |
| 75 guests | $19.90 | $24.87 | $1,865 |
| 100 guests | $17.46 | $21.83 | $2,183 |
| 150 guests | $18.86 | $23.58 | $3,537 |
| 200 guests | $16.96 | $21.20 | $4,240 |
By menu and service, 100 guests
Full cost → suggested price per guest. For comparison, published 2025–2026 BBQ catering prices run about $15–30 per guest for drop-off, $25–50 for a staffed buffet and $40–75+ for full service (market guide).
| Menu | Drop-off | Staffed buffet | Plated |
|---|---|---|---|
| Pulled pork + chicken | $10.32 → $14.08 | $17.46 → $21.83 | $25.23 → $31.54 |
| Brisket + pulled pork | $12.39 → $18.32 | $19.25 → $24.06 | $27.58 → $34.48 |
| Ribs + chicken | $10.91 → $21.08 | $18.91 → $23.64 | $26.44 → $33.06 |
Food cost, margin and markup
Three ways to set a price give three different numbers for the same job. For 100 guests at a staffed buffet, food costs $422.50 and the full cost is $1,746.28.
| Method | Price | Per guest | What it covers |
|---|---|---|---|
| 30% food cost | $1,408 | $14.08 | Only food is tracked; labor can fall through |
| 20% margin on full cost | $2,183 | $21.83 | Every cost plus profit |
| 25% markup on full cost | $2,183 | $21.83 | Same as a 20% margin |
Margin is profit as a share of the price; markup is profit as a share of the cost. A 25% markup is a 20% margin. Food-cost pricing alone undercharges small staffed events, where labor is the biggest line.
How we calculate
- Meat uses the same formula as the portion calculator above: guests × cooked pounds per guest × share of the menu × service factor (buffet 1.2) × sides factor + waste buffer, then the raw factor. Butts are rounded to whole 8 lb butts, briskets to 13 lb packers, ribs to 2 lb racks.
- Sides: pounds = guests × ounces ÷ 16 + waste. Quarts = pounds ÷ density (USDA cup weights). Pans hold 85% of brim volume: a deep full pan 12.1 qt, a deep half pan 5.7 qt.
- Staff: one buffet attendant per 35 guests or one server per 11 plated guests (rules of thumb), plus a pitmaster for the cook and the event, and one more per 150 guests.
- Travel at the IRS business rate of 76¢ per mile (from July 1, 2026), round trip. Chafers: one per two half pans on the line.
- Full cost = food + supplies + charcoal + labor + travel + rentals, plus overhead. Price by food cost = food ÷ target %; by margin = full cost ÷ (1 − margin); markup = profit ÷ cost.

FAQ
How much should I charge per person for BBQ catering?
For a staffed buffet of two smoked meats and three sides, cost runs about $17.46 per guest at 100 guests at our planning prices; charge about $21.83 or more. Market prices run $25–50 per guest for staffed buffets.
What food cost percentage should a caterer use?
28–35% is the common range. Check that the result also covers labor and rentals.
What is the difference between margin and markup?
Margin is profit divided by price; markup is profit divided by cost. A 20% margin equals a 25% markup.
How do I price drop-off catering?
Drop-off has no service staff or chafers, so full cost is lower; keep the same food-cost target and add delivery at the IRS mileage rate.
